Volunteers Guidelines
Welcome to the KazMPIRE volunteer team! Whether you’re helping with one of our movie events, gaming tournaments, or any other exciting KazMPIRE experience, your role is vital to our success. These guidelines outline our expectations, policies, and best practices for all volunteers across all KazMPIRE events. Please read them carefully and acknowledge your understanding during registration by checking the agreement box.
1. Commitment & Reliability
- Punctuality: Volunteers are expected to be on time for their assigned shifts. Prompt arrival ensures smooth operations and a successful event.
- Attendance: If you cannot attend your shift for any reason, notify your team lead at least 24 hours in advance to allow time for a replacement.
- Reliability: Once you commit to a task, follow through on your responsibility to ensure event success.
2. Dress Code
- T-shirts: You are required to wear the KazMPIRE volunteer T-shirt during your shift to ensure you are easily identifiable to attendees.
- Comfortable Footwear: Wear shoes that will allow you to stand and move comfortably for extended periods.
- Identification Badges: If provided, wear your volunteer badge at all times while on duty.
3. Behavior & Attitude
- Professionalism: Treat all attendees, fellow volunteers, and staff with courtesy and respect.
- Positive Attitude: Be friendly and approachable. A positive outlook can enhance the overall experience for attendees and your fellow team members.
- Conflict Resolution: If you encounter a disagreement or issue, stay calm and inform your team lead immediately. Do not engage in arguments or conflicts with attendees or other volunteers.
4. Teamwork
- Collaboration: Work closely with your fellow volunteers and help when needed. Teamwork is essential for event success.
- Follow Instructions: Always listen to and follow your team lead’s directions. They are responsible for ensuring tasks are completed efficiently and effectively.
- Communication: Use the designated communication channels (e.g., WhatsApp, radio) to stay updated on any changes during your shift. Keep your phone on silent but accessible for important updates.
5. Health & Safety
- Stay Hydrated: Drink plenty of water throughout the event, especially if working outdoors or in physically demanding roles.
- Take Breaks: Breaks will be scheduled for all volunteers. Make sure you rest when it’s your designated time.
- Emergency Procedures: Familiarize yourself with the venue and its emergency exits. In case of an emergency, follow the instructions of your team lead and the on-site security team.
- First Aid: If you or someone else needs medical attention, immediately contact your team lead or the event’s first aid team.
6. Customer Service
- Engage Attendees: Be approachable, and if attendees have questions, help them as much as possible. If unsure, direct them to the appropriate person or team.
- Maintain Order: If managing crowds or lines, do so politely and maintain an orderly atmosphere.
- Handling Complaints: If an attendee has a complaint, listen calmly and report it to your team lead. Avoid confrontation and do not make promises or decisions beyond your authority.
7. Event Responsibilities
- Know Your Role: Be clear on your role and responsibilities. If you’re unsure about any task, ask your team lead for clarification.
- Stay Focused: While it’s tempting to enjoy event activities, you are expected to remain focused on your assigned duties during your shift. After your shift ends, you can enjoy the event.
- Adaptability: Be prepared to take on new tasks or adapt to changing situations during the event.
8. Confidentiality & Privacy
- Attendee Privacy: Do not share any personal or sensitive information about attendees, sponsors, or other event stakeholders.
- Internal Communication: All communication about event operations (e.g., schedules, team discussions) should remain confidential and only shared with those involved in the event.
9. Reporting Issues
- Problem Escalation: If you encounter any issues (e.g., equipment malfunctions, security concerns), inform your team lead immediately. Do not attempt to resolve serious problems on your own.
- Volunteer Misconduct: If you witness any inappropriate behavior from another volunteer, report it discreetly to your team lead or the Head of Volunteering.
10. Volunteer Benefits
- Meals & Breaks: You will be provided with meals and snacks during your shift. Scheduled breaks are designed to keep you energized and focused.
- Certificates & Recognition: After the event, you will receive a certificate acknowledging your contribution, which can be a valuable addition to your CV or portfolio.
- Event Perks: Once your shift is over, you’re welcome to enjoy event activities such as games, screenings, or other attractions offered at the event.
11. Code of Conduct
- Zero Tolerance for Harassment: KazMPIRE is committed to maintaining a harassment-free environment. Any volunteer found engaging in harassment, discrimination, or inappropriate behavior will be immediately removed from the event and disqualified from future volunteer opportunities.
- Substance-Free Policy: Volunteers are strictly prohibited from consuming alcohol or drugs during their shifts. Violations will result in immediate dismissal from the volunteer team.
- Honesty & Integrity: Volunteers are expected to act with honesty and integrity at all times. Theft, dishonesty, or unethical behavior will lead to immediate dismissal.
12. Post-Event Duties
- Clean-Up: All volunteers are expected to assist in cleaning up after the event. This may include breaking down equipment, clearing trash, and organizing leftover materials.
- Feedback: Your feedback is valuable to us. After each event, you may be asked to provide feedback on your volunteer experience to help improve future KazMPIRE events.
Acknowledgement of Guidelines
During the volunteer registration process, you will be required to check a box acknowledging that you have read and understood these guidelines and agree to abide by them during any KazMPIRE event.
